The short version

  • We use your details to give you a demo, set Wendy up, and run her for you.
  • We never sell your details, or your customers’ details, to anyone.
  • Calls are recorded and transcribed, so Wendy can write down what was said.
  • You can ask for a copy of what we hold, or ask us to delete it, any time.

Your customers’ details

When Wendy answers calls and messages for your business, she handles your customers’ details: names, numbers, addresses, the job, and call recordings and transcripts. For that data, you are the controller and we are your processor. We only use it to run Wendy for you, under our terms and your instructions. We never sell it, and we never pass it to another trade.

If you need a data processing agreement for your records, email us and we’ll send one.

Who we share it with

We use trusted suppliers to run Wendy. Each one only gets what it needs, under a contract that requires it to keep the data safe:

  • Website hosting and forms: Netlify
  • Phone calls and text messages: Twilio
  • The voice and language technology that powers Wendy’s calls: Google, ElevenLabs and LiveKit
  • Our app, database and the book: Render and Supabase
  • Diary and customer records: HighLevel
  • Messages with Wendy: WhatsApp (Meta)
  • Reading the public pages of your website: Firecrawl
  • Card payments: our payment provider

We’ll also share data if the law requires it, or to protect our rights, our customers or the public.

Transfers outside the UK

Some of these suppliers are based in, or process data in, the United States or the EU. Where data leaves the UK, we rely on UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework where the supplier is certified) or the UK International Data Transfer Addendum to the EU standard contractual clauses.

How long we keep it

  • Demo requests, recordings and transcripts: up to 12 months after your demo, unless you become a customer.
  • Your account and the book: while you’re with Wendy, then deleted within 90 days of you leaving, unless you ask us to delete it sooner.
  • Invoices and payment records: 6 years, because tax law says so.
  • Contact form messages: up to 2 years.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal data we hold about you
  • correct anything that’s wrong
  • delete it
  • stop or limit how we use it, including objecting to anything we do on the basis of legitimate interests
  • send it to you, or to someone else, in a common format

Email hello@heywendy.co.uk. We’ll reply within a month. It’s free.

If you’re not happy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d like the chance to sort it first, though.

Automated decisions

Wendy sorts your customers into piles for you, and you can see and change every one. We don’t make decisions about you that have legal or similarly significant effects using automated processing alone.

Changes

If we change this notice, we’ll update the date at the top. If a change affects how we use your data in a big way, we’ll tell you first.
